Why this role matters
As the CEO's Executive Assistant, you will be at the operational heart of a young, mission-driven organisation in its start-up phase. You will divide your time equally between supporting the CEO as Executive Assistant and assisting the wider team with administrative needs. This split is expected to change over time.
You’ll help build the systems and routines that allow a small international team to work smoothly: keeping calendars under control, meetings on track, documents organised, and our (growing) Paris base running effectively, including office setup, supplies, external providers, and on-site coordination..
You’ll work closely with Current AI’s leadership and core team, in a dual-scope role:
Executive Assistant to the CEO
- Manage calendars, scheduling, and meeting preparation
- Coordinate travel, logistics, and key communications
- Anticipate priorities and handle day-to-day operational needs, enabling the CEO to focus on strategy, partnerships, and programmes
Administrative Support to the Team
- Support day-to-day logistics for a small international team
- Coordinate internal projects, meetings, and events
- Maintain organised documents, processes, and shared systems
- Help ensure the smooth running of team operations
Your ability to stay organised, anticipate needs, and make things run smoothly will directly contribute to accelerating public-interest AI.
What you’ll do
Provide proactive administrative support primarily to the CEO, as well as to the leadership and core team (70%)
- Manage complex calendars, including scheduling across multiple time zones and stakeholder groups.
- Coordinate meetings (in-person and virtual): invitations, agendas, materials, technical setup, room / Zoom logistics, note-taking and follow-up actions.
- Support travel arrangements (trains / flights, accommodation, visas if needed, local logistics) and prepare travel packs / briefs.
- Help draft, format and proofread documents and presentations for internal and external use (e.g. meeting decks, memos).
Support HR, onboarding and internal processes (20%)
- Coordinate onboarding and offboarding checklists: equipment, access to tools, welcome materials, first-week schedules.
- Maintain and update key internal records and contact lists (staff, suppliers, partners).
- Support implementation and documentation of internal processes (e.g. how we request travel, expenses, meeting templates, filing conventions).
- Help coordinate small internal events and team offsites (logistics, invitations, catering, etc.).
- Support IT and tools coordination (e.g. onboarding checklists, ordering equipment for new employees, liaising with external IT support and vendors).
Coordinate coworking space and team logistics (10%)
- Act as the main point of contact between Current AI and the coworking space operator (access, membership changes, meeting room bookings, any issues).
- Make sure the team has what they need to work efficiently in the space (badges, Wi-Fi/access info, printing, lockers, small equipment, etc.).
- Organise use of meeting rooms and common areas for internal meetings, workshops and visitors.
- Help create a welcoming, professional environment for staff and guests (receiving guests, ensuring supplies, refreshments for meetings, etc.).
What we’re looking for
Must-haves:
- 5+ years of experience in an administrative support role, preferably supporting senior executives, in fast-paced, international environments.
- Excellent organisational and time management skills, with the proven ability to prioritise tasks effectively, keep multiple calendars organised - especially when things are ambiguous or moving quickly.
- Professional fluency in English and French (written and spoken) and confidence operating across cultures and contexts.
- Strong proficiency with digital tools (ideally Google Workspace, Slack, Zoom and project/task management tools such as Notion or similar), along with confidence managing spreadsheets, tracking expenses, and supporting basic budgeting processes..
- Attention to detail and accuracy; able to prioritise, follow through and close loops with minimal supervision.
- Strong written and verbal communication skills, able to produce clear, concise and error-free messages and documents.
- High level of discretion and reliability when handling sensitive information.
- Ability to take initiative and to work autonomously as well as in a team setting.
- Flexibility to work across timezones
Nice-to-haves:
- Experience in philanthropic or mission-driven organisations, public sector, international organisations or start-ups.
- Familiarity with HR or finance administration (e.g. expenses, invoices, contracts).
- Experience coordinating small projects or events (internal or external).
- Curiosity about AI and its impact on society - you don’t need to be a technologist, but you should be comfortable working around technical topics.

The offer
We’re committed to ensuring that team members are supported, well-compensated, and able to thrive.
Expected Salary Range: €48,000-€55,000. For outstanding candidates, we may consider a higher package.
